AIGPE, an instructional content provider, offers materials on platforms like Udemy, StackSkills, and their website. Goals

Project Focus

We started with the certification process. AIGPE’s team manageed certificates manually using multiple tools like Dropbox, Excel, Udemy, and Typeform. This limited them to issuing about 40 certificates per day. Our goal was to help them grow, while keeping costs low and working with their current system.

Solution Options

We looked at three options:

  1. Custom Platform: Combines all processes into one system but takes a lot of time and money to set up.
  2. Cloud Automation: Automates tasks without a full system, though it needs a long setup and can’t be tested early.
  3. Remote Process Automation (RPA): Works with current tools to automate tasks; we chose RPA using Microsoft Power Automate for desktop tasks.

Implementing the RPA Solution

We recommended Microsoft Power Automate as it works well with AIGPE’s tools and is part of their Office 365 plan. Power Automate helped us automate key parts of certification and fit easily into their Excel-based workflow.

Steps

  1. Collecting Certification Requests
    The RPA system automatically gathers and organizes requests daily.
  2. Checking Documents Automatically
    The RPA checks student details (name, score, email) and asks staff to approve or reject certificates.
  3. Scaling to More Courses
    We tested the RPA with one high-demand course, saving staff 50% of their time. After positive results, we extended the system to all 27 courses. This increased their capacity to up to 400 certifications per day, with potential for up to 1,000.

Results

This solution provided consistent improvements:

  • 400+ Certifications Daily: Increased from 40 per day, with room for further growth.
  • Reduced Manual Work: Staff time and effort decreased, allowing them to focus on other tasks.
