Case Study I: Helping TOEFL Speaking Teacher Grow with SEO

Overview

TOEFL Speaking Teacher was a small business helping students and professionals prepare for the TOEFL test, with a special focus on the speaking section. Specific TOEFL scores are needed to study, work, or live in the US. This business helped students improve their TOEFL speaking skills, which is often the most challenging part of the test. Serenichron partnered with TOEFL Speaking Teacher to increase website visitors and income through a well-planned SEO strategy.

Project Goals

The main goals of this project were:

  • Bringing more people to the website through better search results.
  • Helping the business appear higher in search rankings, so more students could find it.

Growing revenue by turning website visitors into paying clients.

Our Approach

To achieve these goals, we began with a deep analysis and clear strategy:

  1. SEO and Competitor Research: The first step was reviewing the website’s current SEO. This included looking at which keywords were helping the site appear in search results and which pages were doing well. We also studied similar businesses (competitors) to understand what made them successful. Using tools like SEMRush, Ahrefs, and Google Keyword Planner, we found keywords and search terms that matched what TOEFL takers were searching for online.
  2. Focus on TOEFL Speaking: We found that the most valuable area for this business was the TOEFL speaking section, which many students and working professionals find difficult. Working closely with the business owner, we built a plan to target keywords focusing on TOEFL speaking. This allowed us to reach TOEFL takers who needed help specifically in this area, which also helped the business specialize in a high-value niche.
  3. Building Website Trust and Authority: The website already had quality content, and the name “TOEFL Speaking Teacher” was helpful for SEO since it directly mentioned what the business offered. However, the website did not rank high in search results because it lacked “domain authority.” Domain authority is important, as it tells search engines that the website is trusted. Increasing this authority became one of our main goals.

Key Strategy

To increase authority and trust, we developed a backlink strategy. A backlink is a link from another website that points to our client’s website. Backlinks from well-known or trusted websites are valuable because they can help the website rank higher in search results.

  1. Finding Strong Backlink Opportunities: Our research found a unique opportunity with a domain called iteacher.com. This domain was no longer active but had previously been linked to a popular Google teaching blog. This connection meant iteacher.com had high authority, which was valuable for SEO.
  2. Purchasing and Redirecting Traffic from the Domain: Since iteacher.com was close to expiration, we suggested buying it. Once acquired, we set up redirects to send visitors from iteacher.com to specific pages on the TOEFL Speaking Teacher website. This approach allowed us to pass the authority from iteacher.com to our client’s website, which helped build trust with search engines. Additionally, we created helpful content on popular sites like Quora and Magoosh, which gave more visibility to the website and helped reach potential test takers.

Results

The SEO strategy brought impressive results for TOEFL Speaking Teacher:

  • 300% More Traffic: Redirects from iteacher.com, and our other SEO work, brought three times more visitors to TOEFLspeakingteacher.com. This made the website much easier to find for the audience needing TOEFL support.
  • Double the Revenue: With more visitors, the business quickly doubled its revenue, as more people signed up for lessons and tutoring.
  • A Strong Base for Future Growth: The improvements set a strong foundation for the business. With better SEO and more authority, TOEFL Speaking Teacher became better prepared for future growth.

Outcome

The successful SEO project led to new opportunities for the business owner. Eventually, TOEFL Speaking Teacher was sold to a new owner in the education sector and rebranded as TST Prep. This new brand continues to help students and working professionals with TOEFL resources and practice, using the solid SEO foundation we helped establish.

Case Study II: TSTPrep & Procesio

Introduction

Generative AI is changing online education by making learning more interactive and personal. We worked with a company that helps people prepare for English exams, like TOEFL and Duolingo English Test (DET). Our goal was to improve their platform by adding AI. In this case study, we explain how Procesio helped us manage and connect different AI services, creating a better system for their students and staff.

The Client’s Vision

Our client is a leader in English exam preparation. They wanted to improve their system by making it more interesting for students and giving them faster, personalized feedback. They also wanted to help staff save time by using AI.

Their goals were to:

  • Simulate different question types, like image and speaking prompts.
  • Create a large amount of practice content quickly.
  • Provide instant, personalized feedback to students.
  • Help staff save time with AI-assisted processes.

We integrated several AI services into their WordPress Learning Management System (LMS) to meet these goals.

The Procesio Advantage

We used Procesio to connect all the AI services and manage the workflows. Procesio is an automation platform that allows users to build workflows without much coding. This was very helpful for our project because it made everything easier to set up and control.

Here’s how Procesio helped:

  • Process Designer: This visual tool made it simple to design and test workflows for AI services.
  • API and Webhook Integration: Procesio allowed us to connect the WordPress platform with the AI services through APIs, which ensured data moved between the systems quickly, like sending students’ answers and getting AI-generated feedback.
  • Automation: Procesio automated repetitive tasks, such as uploading student data and generating feedback. This saved time and reduced the need for manual work.
  • Scalability: The platform’s cloud infrastructure allowed it to grow as the client’s needs increased.

Here are the AI tools we integrated using Procesio:

  • OpenAI’s Whisper for turning speech into text.
  • ElevenLabs for creating speech from text.
  • OpenAI’s GPT-4 for generating and evaluating text.

By using Procesio, we could connect these AI services without needing a lot of coding. This made the system easy to manage and update.

AI Workflows that Procesio enabled for us

Two of the most exciting features we developed were AI-powered Listening question-type exercises, for which we took the text and used Procesio to manage the text-to-speech conversion into audio files. Here’s how they worked:

Creating Content:

  • We used AI to turn written text into audio files that students could listen to. The text was uploaded to WordPress using a CSV file with entries to be converted into audio. This way, we could generate many audio files quickly.

Student Interaction:

  • Students listened to the AI-generated audio and responded in two ways. They either typed out what they heard (Listen and Type) or replied verbally to the audio (Listen then Speak).

AI Feedback:

  • The student’s response was reviewed by GPT-4. For the Listen and Type exercise, it checked if the typed text matched the original. For Listen then Speak, it reviewed the spoken answer based on the prompt.

  • GPT-4 then created feedback and Procesio made sure it was sent to WordPress instantly. This allowed students to get quick, personalized feedback, helping them learn more effectively and understand where they could improve.

Thanks to Procesio, all these steps were automated and ran smoothly, making the whole process faster and more efficient.

Results and Insights

The AI-powered features had a big impact on both students and staff:

  • Students: Enjoyed the personalized feedback and felt more confident with the AI-generated practice.
  • Staff: Saved time in generating questions and other processes, which allowed them to focus on other tasks.
  • Content Creation: The system allowed for faster production of new content.

Key Lessons Learned:

  • Generative AI can improve learning experiences when combined with automation tools like Procesio.
  • A platform like Procesio makes connecting and managing multiple AI services easy.
  • Human input is still important to ensure the highest quality in grading and feedback, but AI can reduce manual work.

Conclusion

This case study demonstrates how AI, integrated through Procesio, can improve learning experiences by making them more engaging and efficient. Using automation, we created a platform allowing faster feedback and easier management.

Generative AI has great potential in many industries, not just education. With the right tools and strategy, businesses can offer more personalized services and improve operations.

Case Study III: How System Improvements Transformed TOEFL Speaking Teacher’s Business

Overview

When TOEFL Speaking Teacher was brought to us, the business was a one-person operation. The owner handled everything—teaching, managing customers, and running the business. To help, they brought in a virtual assistant employee for customer support and a few admin tasks. However, things were still a bit chaotic without any real systems in place.

Our first step was to increase website traffic and revenue through SEO. Once we achieved this, we could focus on building the business in a way that allowed it to grow. With more students coming in, the owner could step back from teaching and start focusing on the big picture.

Scaling Operations for Growth

With the boost in traffic and revenue, the business was ready to expand. This meant the owner could hire more teachers and didn’t need to handle all the classes alone. They could now focus on managing and improving the business without juggling both teaching and running the company.

With the extra revenue, we set up new systems to simplify daily operations—making it easier to respond to customer requests, schedule appointments, and keep in touch with students. These systems made things run more smoothly, even as the business continued to grow.

Building a Modern Tech Stack

Initially, the website was built on Squarespace, which was quite limiting. Squarespace offered little SEO support, lacked e-commerce options, and made email marketing difficult to set up. Moreover, payments were made through a separate service, SamCart, adding unnecessary extra costs. To make the business more flexible and future-ready, we:

  • Moved the website to WordPress, giving more control and allowing direct online payments.
  • Enabled e-commerce capabilities directly on WooCommerce, which meant we no longer needed SamCart.
  • Connected everything with Zapier, which made managing tasks across platforms easier and faster.

With these changes, the business had a stronger foundation, and could now grow further.

Automating and Systematizing Operations

To improve efficiency, we added tools to automate and organize day-to-day work. These tools helped in a few important areas:

  • Automated Scheduling: Students could now book appointments online, making it easier for both students and teachers to manage schedules.
  • Process Street Checklists:We created automated checklists for different tasks, like TOEFL Writing essay evaluations. For example, when a student bought an essay evaluation, a checklist was sent to the teacher, including all needed information. This ensured the teacher followed a consistent process each time.
  • Email Marketing Automation: We set up automated emails to keep students informed, updated and engaged, reducing the need for manual follow-ups.

Expanding Services and Product Offerings

To reach more students and provide flexible options, we introduced new services and packages:

  • New Services: We introduced TOEFL Writing essay evaluations and TOEFL Speaking evaluations, offering students more ways to get help.
  • Group Classes: They offered a way for students to learn together at a lower cost, while also benefiting from studying in a group.
  • Bundled Packages: We created packages offering multiple teaching hours, where students could work with different teachers, giving them the flexibility to choose the support they needed.

Results

These changes proved beneficial for TOEFL Speaking Teacher. The team expanded to three teachers, one administrator, and a virtual assistant employee. Revenue increased from enough to cover the business owner’s full-time salary, to enough to pay for a full team, including part-time teachers, full-time virtual assistant, full-time technical employee and extra revenue available to re-invest. With all these systems in place, the business could easily support a larger number of students and run more efficiently.

Conclusion

The system upgrades helped TOEFL Speaking Teacher grow steadily and operate more smoothly. Eventually, the owner was able to sell the business. After the sale, the business was rebranded by the new owner, who then made further optimizations.

Case Study IV: Website Migration for EntheoNation

Overview

At Serenichron, we help businesses grow by solving tough challenges. This is how we assisted EntheoNation, owned by Lorna Li, in reclaiming control of her website. Lorna had been stuck with a restrictive vendor that required a monthly payment to host her website and podcast but offered very limited flexibility.

The Challenge

EntheoNation’s previous provider had a subscription model that didn’t allow the owner to customize her site to her needs. All changes had to go through the vendor, and many requests were either denied or delayed. This setup made it difficult for Lorna to run her business effectively, preventing her from making necessary updates and expanding her offer.

Our Approach

To help EntheoNation gain independence from the vendor, we aimed to transfer as much content as possible to a new platform that the owner would fully control. Here’s how we approached the project:

  1. Content Extraction: The vendor restricted access to files, themes, and code, which they considered proprietary. Only the database content was made available. Because of that, we were only able to use WordPress’s export tool to retrieve the content, not the code. This allowed us to save the essential site information, ready for use in a new setup.
  2. Podcast Preservation: EntheoNation’s podcast, with over 100 episodes, was a major part of Lorna’s content. We ensured each episode would remain indexed and accessible on the new website.
  3. Redesign and Feature Upgrades: In collaboration with the owner, we redesigned the website with a fresh look and new features to meet her needs as a launch-based marketer.
  4. Integrations: We set up integrations with her email marketing tools (either ConvertKit or Ontraport), e-commerce, and lead generation tools using the Thrive suite.

Technical Setup

To provide stability and prevent issues from automatic updates, we built a robust backend setup:

  • Roots Trellis Stack: We deployed the site using this approach for reliable server management and scalability.
  • Bedrock Boilerplate: This structure allowed us to create development and testing environments without affecting the live site.
  • Hosting on DigitalOcean: We hosted the website on DigitalOcean, giving the owner a dedicated environment that she controlled.
  • Custom Theme and Builder: At Lorna’s request, we used Beaver Builder, creating a unique layout and giving her flexibility to make edits without external support.

Outcome

From September to March, we completed the migration and handed the client a fully functional, independent website. With her new setup, Lorna now has full control over her website’s design, functionality, and future updates.

Case Study V: How Plant Spirit School & Summit Reached New Audiences

Overview

Plant Spirit School and Plant Spirit Summit are two projects by EntheoNation, a brand led by Lorna Li, they needed a powerful online presence to reach a growing community of visionary shamans and spiritual seekers. After moving EntheoNation’s website to a new server, we helped prepare a launch for both the school and the summit. This involved creating two online spaces: one to share educational content and another to host a virtual summit. We had four months to set up these platforms for a large event with top speakers in spirituality.

Project Goals

  1. Plant Spirit School Website: We built a website focused on providing educational materials about visionary practices and spiritual growth. This platform shares educational content like videos and interviews. It also directs visitors to the summit.
  2. Plant Spirit Summit Launch: We prepared the online setup for a three-day summit, featuring 18+ speakers from the psychedelic and spiritual communities.

Partnerships & Affiliate Marketing

To promote the summit, the owner worked with other brands as partners. These partners shared the summit with their own audiences. Our job was to track which visitors and sales came from each partner, so we could pay commissions fairly.

Our Approach

  1. Tracking and Optimization:
We built a system to track leads and sales:
    • Collecting Data: We first collected lead data on the website.
    • Data Delivery: A webhook sent this data to spreadsheets, then Zapier sent it to an email system.
    • Backup Systems: To prevent data loss, we used two methods for tracking. This way, data was secure, even if a sale happened long after the first contact.
  2. Lead Generation and Marketing:
We created interest before the summit:
    • Interest List: We first built a list of leads who wanted summit updates. They received event details before anyone else.
    • Remarketing: From over 100,000 visitors driven by our partners, 40,000 opted in. For the rest, we used Facebook Ads to remind them about the event.
  3. Ticketing & Event Setup:
As the summit date approached, the speaker lineup was confirmed, and the event dates were finalized. We also built a simple ticket system, which led to:
    • 2,000+ Ticket Sales: This resulted in approximately $100,000 in revenue.
    • High-Ticket Service: We also set up a second funnel to offer special services to the most interested attendees.

Results

The Plant Spirit School & Summit launch exceeded expectations. We used smart partnerships, careful tracking, and good systems to increase visitors and sales.

Case Study VI: AIGPE - Remote Process Automation (RPA)

Introduction

Advanced Innovation Group Pro Excellence (AIGPE) approached us with a need for efficiency. A trusted partner referred AIGPE to Serenichron, knowing we could help optimize their operations. AIGPE, an instructional content provider, offers materials on platforms like Udemy, StackSkills, and their website. They initially sought assistance in course creation but soon realized their certification process needed automation to grow effectively.

Goals

AIGPE’s main goals were to:

  • Automate Certification: Their current manual steps took too much time and limited growth.
  • Create Digital Certificates: They wanted to use Open Badges 3.0 for secure, digital certificates.
  • Track Alumni Progress: A system for partners to confirm student credentials and monitor alumni activity was needed.

Project Focus

We started with the certification process. AIGPE’s team manageed certificates manually using multiple tools like Dropbox, Excel, Udemy, and Typeform. This limited them to issuing about 40 certificates per day. Our goal was to help them grow, while keeping costs low and working with their current system.

Solution Options

We looked at three options:

  1. Custom Platform: Combines all processes into one system but takes a lot of time and money to set up.
  2. Cloud Automation: Automates tasks without a full system, though it needs a long setup and can’t be tested early.
  3. Remote Process Automation (RPA): Works with current tools to automate tasks; we chose RPA using Microsoft Power Automate for desktop tasks.

Implementing the RPA Solution

We recommended Microsoft Power Automate as it works well with AIGPE’s tools and is part of their Office 365 plan. Power Automate helped us automate key parts of certification and fit easily into their Excel-based workflow.

Steps

  1. Collecting Certification Requests
The RPA system automatically gathers and organizes requests daily.
  2. Checking Documents Automatically
The RPA checks student details (name, score, email) and asks staff to approve or reject certificates.
  3. Scaling to More Courses
We tested the RPA with one high-demand course, saving staff 50% of their time. After positive results, we extended the system to all 27 courses. This increased their capacity to up to 400 certifications per day, with potential for up to 1,000.

Results

This solution provided consistent improvements:

  • 400+ Certifications Daily: Increased from 40 per day, with room for further growth.
  • Reduced Manual Work: Staff time and effort decreased, allowing them to focus on other tasks.
  • Future-Ready: Power Automate will allow AIGPE expand digital certificates as needed.
